System Integration & Custom API Development

Your accounting package, your online store, your CRM and your job system each hold a piece of the truth — and a person in the middle re-typing between them. Integration removes the person from the middle.

Nearly every business we talk to has the same shape of problem. The software isn't wrong. There's just too much of it, and none of it talks. So an order placed on Shopify gets typed into the job system, then typed again into Xero, and somewhere in that chain a digit changes and nobody finds out until reconciliation.

The fix is rarely a new platform. It's a connection between the ones you already pay for.

What we connect

Accounting

Xero & MYOB

Invoices, bills, contacts, payments and tracking categories synced both ways — so the job system and the books agree without a monthly catch-up exercise.

E-commerce

Shopify & WooCommerce

Orders, inventory and fulfilment flowing between your store, your stock and your accounts. Stock levels that are actually true.

Sales

CRM systems

HubSpot, Salesforce, Pipedrive and others connected to your operational systems, so a won deal becomes a job without re-entry.

Field

Job & trade platforms

ServiceM8, simPRO, AroFlo and similar — bridged to accounting, stock and custom reporting.

Supply

Supplier & freight feeds

Price files, availability and consignment tracking pulled in automatically, including from suppliers whose idea of an API is a nightly CSV on an FTP server.

Custom

Bespoke APIs

An API built for your own system so partners, customers or your other tools can connect to it properly — with authentication, versioning and documentation.

Xero integration, specifically

Xero is the most common request we get, and the one most often done badly. A weekend integration that pushes an invoice works fine until the day it doesn't — a duplicate contact, a rate limit, a tracking category that was renamed, a payment applied twice. Then it fails silently for three weeks and you find out at BAS time.

Integration is 20% connecting things and 80% handling what happens when the connection misbehaves. Every one we build includes:

  • Idempotency — the same event processed twice does not create two invoices.
  • Automatic retries with sensible backoff, for the failures that resolve themselves.
  • A visible log of what synced, when, and with what result — readable by you, not just by a developer.
  • Alerts on real failures, so a broken sync tells you rather than waiting to be discovered.
  • A reconciliation view that answers "is everything across?" without opening both systems.

That discipline is the whole difference between an integration that saves you a day a week and one that costs you a day a month. It's also why the cheap version is rarely cheaper.

What it costs

  • $2,500 – $6,000 — a one-way sync. Push invoices, contacts or orders from one system into another, with logging and alerts.
  • $6,000 – $15,000 — a two-way sync with conflict handling, retries, reconciliation and a monitoring view.
  • $15,000+ — a hub connecting several systems, or a custom API built for your own platform with documentation and partner access.

Hosting for an integration typically runs $20–$80 a month. Fixed price agreed before work starts, as with everything else.

Common questions

How much does a Xero integration cost?

A one-way sync pushing invoices or contacts into Xero typically runs $2,500 to $6,000. A two-way sync with error handling, retries and reconciliation runs $6,000 to $15,000. The difference is almost entirely in handling the cases where things go wrong.

What if my supplier has no API?

Common, and usually still solvable. Scheduled file drops, email parsing, and structured extraction from PDFs all work. It's less elegant, but the person currently re-typing it doesn't care about elegance.

What happens when an integration breaks?

It tells you. Everything we build logs what it did, retries transient failures automatically, and alerts a human when something genuinely needs attention. Silent failure is the worst outcome in this work, so these systems are built to fail loudly.

Can you fix an integration someone else built?

Yes, and it's a common request. We'll audit what's there and tell you honestly whether it's cheaper to repair or replace.

What are you typing twice?

Tell us which two systems refuse to talk. We'll tell you what connecting them involves and what it costs — usually within a day.
